Receptionist

As an employee of Treaty 8 Urban Child & Family Services, the receptionist will be responsible for greeting visitors and delivering exceptional customer service. The receptionist will direct visitors by maintaining employee and department directories, operate a switchboard to route incoming calls, and place outgoing calls. This position may also include performing administrative duties as required. Additionally, the receptionist will maintain security by following procedures and monitoring a logbook for staff and visitors.

Hours of work will be 8:15 a.m. to 4:30 p.m., with a 45-minute lunch break.

Responsibilities:

  • Answer and direct phone calls in a polite and friendly manner, forward calls to appropriate staff, or take messages when staff are not available.
  • Welcome visitors in a warm and friendly manner, answer any questions visitors may have, or direct them to appropriate staff.
  • Maintain employee and department directories.
  • Always maintain the reception area and public areas in a clean and tidy manner.
  • Operate standard office equipment regularly, including a fax machine, copy machine, and computer.
  • Keep detailed and accurate records of visitor requests and calls received.
  • Copy, file, and maintain paper or electronic documents and records.
  • Manage and log all incoming and outgoing mail.
  • Receive deliveries, sort, and distribute incoming mail.
  • Take inventory of supplies and restock as required.
  • Maintain a diary, arrange meetings and appointments, and provide reminders.
  • When requested, take, record, and type minutes accurately, and send reminders for follow-up.
  • Promote health and well-being through the lens of an Indigenous worldview.
  • Perform other duties as required.
  • Travel may be required.

Qualifications and Experience:

  • Administration Certificate with a minimum of 1 to 3 years of relevant experience in an office environment.
  • Valid Class 5 Driver’s License and reliable transportation.
  • Experience and familiarity with phone systems and office equipment.
  • Working knowledge and experience with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, as well as database and scanning.
  • Knowledge and understanding of Treaty 8 First Nations communities, culture, and language is an asset.
  • Satisfactory Criminal Record Check, including vulnerable sector and Child Intervention (Welfare) Record Check (dated within 3 months upon hiring).
  • Three references (at least one from a previous employer).
